Frequently Asked Questions for AP Coordinators

How can student enrollments and payments be reconciled between your system and the AP Registration and Ordering system?

The MySchoolReceipts system is integrated with the school scheduling system and creates student-fee sheets. Student payments are received and categorized by account and specific AP Exams. Parents or students may pay at the school or online. We can work with you to produce the export needed for AP Registration and Ordering.

Do you integrate with my Student Information System (SIS)?

TES Software provides expert SIS integration. We have a long history of integration with PowerSchool, Skyward, and iNow/Chalkable through their API interfaces and SQL connections. We also offer generic import and export formats that work with nearly any system.

What tools do you have to help manage communication and follow up with students and their families? How are students notified to make a payment?

We offer a mailing system to help facilitate student statements for parents. We are moving toward building email statements into our system, but that is probably going to be released spring of 2020.

What customer support do you offer to students and families?

We offer support 7 a.m.–7 p.m. PST Monday–Friday by telephone and helpdesk. We offer extended support hours during the registration and end-of-year seasons.

What customer support and training do you offer to schools and AP coordinators?

We offer extensive support for new clients. We offer webinar training, help them set up their books, their accounts, and their district connections. We ensure they have everything they need to use our system successfully.

How and when do schools receive collected exam fees?

In almost all cases, the schools receive their money the next day. There are some processing models we offer that can add an extra day or two.

Do you support customized exam fees? Do you support payment/installment plans?

Our fee creation system allows for customized exam fees. We have several ways for the parent to pay against a balance.

What methods of payment do you accept (e.g., credit card, bank account, etc.)? What types of mobile-friendly payment options do you offer?

We have two models for online payment. One includes Discover, Visa, and Mastercard by default and allows American Express optionally. The other optionally includes eCheck. MySchoolFees.com was rebuilt last year from the ground up to provide excellent access to all mobile devices. We do have a Xamarin-based iOS/Android app in the development pipeline (2021 release scheduled).

How do you keep student and payment data secure and private?

MySchoolFees.com features a fully PCI compliant server that allows whitelist access to our schools via a hardware firewall. We only keep the most necessary of student information on our server (name, grade, etc.). MySchoolFees.com does not store any credit card information. All transactions are processed through an off-site buy page which offers the highest level of PCI compliance available in the industry.

How much does your service cost? Describe your pricing. Please indicate whether you have any one-time setup fees, transaction fees, per student/per exam fees, etc.

MySchoolFees.com costs secondary schools $795 for the first year, with annual renewals set at $595 per year.

We are moving toward a version of MySchoolFees.com that does not have any Licensing or maintenance fees. That is in the pipeline for the 2020 school year. Please note: Schools are responsible for their credit card processing costs. We offer two options: The school may incur all credit card processing costs themselves, or the school can pass on all processing costs to the person making the purchase. There are no additional fees or hidden costs. You have the choice to pay the fee or present it to parents for payment.
